Your Organization and Seats

By the end of this article you will be able to set up your organization, invite people to it, manage seats and roles, and explain to your team exactly what everyone can and cannot see.

An organization is a shared workspace on a Team plan. Everyone you invite gets a seat, every seat includes full Pro features, and the whole thing sits on one bill.

Being in an organization does not mean people can see each other's meetings. It only means they can share with each other if they choose to.

Open Your Organization

Click Organization under TEAM in the sidebar.

The top card shows your organization name, your plan, the date it was created, and how many seats are in use.

Invite a Member

  1. Open Organization.
  2. Type the person's email address into the field at the bottom of the Members card.
  3. Click Invite member.

Their invitation appears in the Pending invitations card until they accept. Once they accept, they move up into Members with a joined date.

An invitation takes a seat while it is pending, so a plan with three seats free cannot have four invitations outstanding.

NOTE
Invite the address the person actually uses with Google Meet. AttendKit signs people in with their Google account, so an invitation sent to an address they do not use for Meet will not connect to their tracked meetings.

Seats

Your seat count is the number of people who can be in the organization at once, including you.

Seats are shown in two places, and both count you: the SEATS meter on the organization card, and the Members card header.

A seat is freed the moment you remove a member or cancel a pending invitation. You do not need to wait for a billing cycle.

Every seat gets the same thing: full Pro features, unlimited meetings, and their own private dashboard.

Roles

There are two roles.

Role
What they can do
Owner
Everything a member can do, plus invite people, remove people, and manage the subscription.
Member
Track meetings, view their own reports, and share meetings with other members.

The owner is the person who created the organization. Your own row is labeled YOU.

Remove a Member

Click Remove at the end of their row in the Members card.

Removing someone takes away their seat and their access to anything shared with them. Meetings they tracked stay in their own account.

TIP
Take a moment before removing someone who was sharing meetings with the rest of the team. Once they are out, those shares end.

What Your Teammates Can and Cannot See

This is the question people ask first, so it is worth being direct.

They cannot see:

  • Any meeting you have tracked, unless you shared it
  • Your participant profiles
  • Your public links
  • Your settings

They can see:

  • Meetings you have explicitly shared with them
  • The organization name, and the list of members and their email addresses

The organization page states the rule in one line: members choose what they share, and nothing you track is visible to anyone unless you share it.

Frequently Asked Questions

Does everyone need a Gmail account?

Everyone needs a Google account. A free Gmail account works. A Google Workspace account works. No Workspace upgrade is required.

Can I change the owner?

The owner is the person who created the organization. Contact support if you need this changed.

What happens to a member's meetings if I remove them?

Their meetings stay in their own account. They keep the reports. They lose their seat and anything that was shared with them, and anything they had shared with the team is unshared. If they rejoin later, sharing does not come back automatically and has to be set up again.

Can someone be in two organizations?

Each Google account holds one seat at a time. Ask the person to leave one organization before joining another.

Do I get charged per seat as people join?

No. Team plans are sold as a fixed number of seats on one bill. Empty seats cost the same as full ones, so invite people as soon as you buy.

Can members see the bill?

Only the owner can manage the subscription.
